Find the repeated task worth fixing.

The first question is not which AI model to use. It is where work gets delayed or repeated. A new enquiry might need copying into a system, assigning to a person and adding to a follow-up list. An internal question might require searching several approved documents.

We document the current steps and choose a small starting workflow. If a simple rule or existing product handles it reliably, adding AI is unnecessary. The goal is a useful process the team can understand and maintain.

Give assistants the right boundaries.

A business chatbot can answer from approved information and hand unfamiliar questions to a person. An internal assistant can prepare a draft or summary for review. Neither should be allowed to invent business policies, prices or confirmed actions.

We agree on which information it can access and which actions require approval. Customer messages, purchases and sensitive changes need clear controls. Access credentials stay outside prompts and the assistant’s public conversation.

Plan for incomplete data and failed services.

An automation must handle duplicates, missing details and unavailable providers. A task is not complete just because a request was sent: the receiving system needs to acknowledge the action, and failure should reach the right person.

We test the ordinary flow and the important failure cases. Tools may include n8n, Make, custom integrations or an existing system’s own automation features. The implementation follows the workflow rather than forcing your business into a particular tool.

Measure usefulness before expanding.

We agree on a baseline such as manual steps, response time or staff time spent on the task. The pilot helps establish whether the change is worth maintaining. It is not a guarantee of a particular saving or revenue result.

The proposal separates development from ongoing hosting, model usage, external subscriptions and support. You receive the agreed workflow documentation, access and handover. Additional automations are new scope, even when they share the same tools.
